Are you looking for an exciting career? Ahern Rentals is looking for a part time Administrative Assistant/Buyer for our Las Vegas office to answer incoming calls, greet suppliers and guests, assist with daily purchasing responsibilities and create reports.

Essential Duties and Responsibilities:

  • Greet and direct visitors appropriately
  • Answer telephone, screening and directing calls, taking and relaying messages as needed
  • Prepare correspondence and documents
  • Schedule appointments
  • Organize conference and meetings / meeting rooms
  • Co-ordinate supplier meetings and organize catering
  • Building power point presentations as required
  • Work with vendors to obtain quotes for projects and submit purchase orders
  • Maintain accurate purchasing documents and vendor records
  • Confirm accuracy of orders
  • Ensure that suppliers deliver on time and resolve issues with suppliers items, or other problems when shipments are late, when purchase orders are received with damaged or missing
  • Work with the Accounting Department to ensure accuracy with invoices and payments to suppliers
  • Look for ways to improve purchasing processes and procedures
  • Document purchasing processes and procedures
  • Work closely with the Inventory team, cross train, and back up as necessary
  • Other duties, as assigned by Management

Qualifications:

  • 2-3 years of experience in an administrative, procurement / negotiations, or finance/accounting position
  • Knowledge of purchasing techniques
  • Strong professional phone skills
  • Must have a high attention to detail, and the ability to understand complex reports, purchase orders, and invoices
  • Strong computer skills in Excel , Word, Power Point with experience with AS400 Rentalman preferred
  • Must be a team player with strong time management and communication skills (written and verbal)
  • Detail oriented, able to prioritize and perform a variety of tasks with varying levels of responsibilities while meeting deadlines
  • Flexibility to work in a constantly growing and changing industry
  • Must be able to read, write, and speak English
  • Must be able to pass drug test and background check
  • Must be able to provide Motor Vehicle Record at time of job offer (current within 15 days)
