Telecommunications Billing Coordinator

Ahern Rentals is looking for a dependable and efficient Telecommunications Billing Coordinator to join our dynamic team. To assist in compiling, managing, and executing client billing and vendor payments; answer inquiries from clients, staff, and vendors; responsible for data accuracy.



Summary of Functions:


Manage approximately 2000 cellular devices across multiple carriers to create the most streamlined and cost-efficient environment. The Telecom Billing Coordinator will analyze daily the best plans for data and voice as well as monitor employee’s use of cellular service to ensure that all use is in the company’s best interest. Monthly monitoring of canceled and suspended lines is also required. This is an exempt-level position.

Essential Duties and Responsibilities:


To include:


  • Responsible for managing approximately 2000 cellular devices across multiple carriers.
  • Work with vendors to ensure that the best plans are always implemented for every company device.
  • Responsible for timely and accurate audit and billing disputes and release of all telecommunications and support services invoices for prompt payment.
  • Monitor monthly bills for abuse by employees and erroneous charges from carriers.
  • Responsible for developing and maintaining a dispute management and escalation process including the filing of disputes when billing errors are identified and tracking disputes through resolution. 
  • Responsible for managing day-to-day relationships with telecommunications services providers.
  • Manage suspended lines of service.
  • Canceling lines of services while minimizing early termination fees
  • Monitor individual and group plans to minimize company expenses.
  • Manage all other Telecommunications invoices by applying receipts to P-card transactions regularly.
  • Create and maintain an active list of locations, their circuits, and contact information both locally and internationally.
  • Other duties or tasks may be assigned on an as needed basis.

  • Strong financial analysis skills
  • A person with an above-average ability to perform analysis and to accurately address/dissect detailed, complex financial issues.
  • Reading and understanding contracts (corporate agreements)
  • Familiarity with cellular phone bills and plans
  • Very competent with MS Word and Excel.
  • Must be able to read, write, and speak English.


Physical Demands:


May be required to communicate with management and other co-workers. Physical requirements for regular use of the telephone and e-mail for communication is essential.


Sitting, standing, walking, bending, squatting, and talking for extended periods is common.


No heavy lifting is expected. Exertion (lift/push/pull) of up to 25 lbs. of force occasionally may be required. If physical exertion requires greater than 25 lbs of force, assistance will be provided. Good manual dexterity for the use of common office equipment and rental equipment.

Work Environment:


While performing the duties of this job, the employee regularly works in a clean and well-lit area with inside environmental conditions. The noise level in the work environment is usually moderate. There will be a moderate amount of incoming calls and walk-through traffic from co-workers which, as a result, will present interruptions in daily tasks throughout the day. This position will experience an extended period of time remaining seated due to the nature of the position. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
